Questions & answers

The honest answers
to the usual questions.

Pricing, process, turnaround, equipment, and how it all works — organized so you can get the basics before sending a project inquiry.

Art documentation & digitization

How much does art documentation photography cost in NYC?+

Three tiers, all per piece: Essential at $50 (one color-accurate hero shot), Standard at $85 (hero plus two hi-res detail crops), and Gallery at $150 (hero, two details, and a 15–30 second video clip). Editing and export-ready files are included in every tier.

Volume discounts apply: 10–19 pieces saves 10%. Larger archives (20+) are quoted directly based on scope. No travel fee within Manhattan.

What's included in an art documentation shoot?+

Controlled lighting calibrated to the work, color-accurate capture with a color reference target, and edited files prepared for the specific end use — web, catalog, archive, insurance, or print reproduction. The process is built around what the image has to do, not just how it looks.

The Gallery tier adds a 15–30 second video clip per piece — useful for social, listings, and digital archives that benefit from motion.

How long does delivery take?+

Standard turnaround is 10 business days from the shoot date. Rush delivery (under 3 business days) is available at +25% on the total.

Files are delivered digitally — no physical prints or drives unless separately arranged.

Do you photograph glazed or framed artwork?+

Yes — glazed and framed work requires a polarized lighting rig to eliminate reflections entirely. This is available as a flat add-on at $200 per session (not per piece). It makes a significant difference: without polarization, glass reflects the ceiling, the photographer, and the room regardless of how carefully you angle the lights.

What file formats do you deliver?+

High-resolution JPEG or TIFF depending on the use case, color-corrected to the source material. Web-optimized versions are included. Files are organized, labeled, and ready for archiving — not a raw dump from a memory card.

If you need a specific format or naming convention for a gallery management system or archive workflow, tell us and we'll accommodate it.

What resolution are the final files?+

Full native resolution from the capture system — typically sufficient for large-format print reproduction. For most artists and galleries, the files are larger than you'll ever need for any digital use, and sufficient for gallery-standard Giclée prints at standard sizes.

Do you offer Giclée printing?+

We work with trusted print partners for archival Giclée reproduction. The documentation shoot produces the files; we can help connect the workflow to a print run if needed. Ask when you book.

Event coverage

How much does event photography cost in New York City?+

Photo coverage is $350/hr with a 2-hour minimum ($700), editing included. We keep the footprint light and deliver while the event still has momentum — press, social, newsletter, and archive use.

Video coverage is scoped per project. Tell us the event length, what you need the video to do, and we'll give you a straight number.

What kinds of events do you cover?+

Gallery openings, exhibition receptions, artist talks, panels, screenings, performances, open studios, art fairs, and small creative gatherings. Our strength is the art-world event — we know how to move through a room, what to capture, and how to make the work visible without turning the evening into a production set.

How quickly do you deliver event photos?+

Fast — because the point is to use them while the event still matters. Turnaround depends on coverage length but typically 3–5 business days. If you have a press deadline or a social push planned, tell us and we'll work around it.

Portraits & branding films

How much does a portrait session cost?+

$1,200 for a half-day session — 3 to 4 hours — in your studio, your space, or wherever the work actually lives. Editing and full-resolution delivery are included. You receive 20+ finished images ready for websites, press kits, grant applications, and the inevitable last-minute headshot request.

These are not headshots. They're portraits that look like you, not a professional profile photo that could belong to anyone.

How much does a brand film cost?+

Day rate from $1,850 — scoped to the project. A 90-second artist film and a 3-minute gallery brand film are genuinely different engagements, so we quote based on shoot days, final length, and delivery requirements. Tell us what you need and we'll give you a straight number with no agency padding.

What's the difference between a portrait session and a brand film?+

Portrait sessions are photo-led: we spend a half-day capturing still images of you — in your studio, at your desk, with your work. Brand films are video-led: a short, story-driven piece about your practice, your space, or your point of view on what you make and why. Some projects benefit from both; we can often combine them in a single shoot day.

Social media & monthly content

How much does social media content and management cost?+

Three tiers, monthly: Lite at $950 (one content session, around 15 photos and 3 short reels — you post it), Growth at $1,900 (content plus captions, scheduling, and posting on two platforms, about 20 photos and 5 reels), and Pro at $3,200 (a pro video or interview session, full posting, audience engagement, a monthly strategy call, and reporting).

These are example packages — every gallery, artist, and brand needs a slightly different mix, so we shape the exact scope and number around your goals and budget. 3-month minimum.

See the full breakdown →

Do you post to our accounts, or just hand over the files?+

Either way. On Lite, we deliver finished content and you post it on your own schedule. On Growth and Pro, we write captions, schedule, and post for you — and on Pro we also handle community engagement and a monthly strategy plan.

Can I get just one reel without a subscription?+

Yes. A standalone social reel is from $550 — one edited vertical reel (15–30 seconds) plus about 5 matching photos from the same capture, delivered in 48–72 hours. Extra reels are +$250 each, and same-day rush is available. Filmed on the spot at your event, opening, launch, or shoot, on your phone or ours.

Do you do social media for businesses, or only art clients?+

We're built around galleries, artists, and creative studios, and the same approach works for other brands that want content with an art-world eye. The common thread is you want useful content consistently, made by a team that understands the work, without thinking about it every time.

Working together

Do you travel to galleries, studios, and locations in NYC?+

Yes — no travel fee within Manhattan. Brooklyn and the outer boroughs are available by arrangement. We come to where the work is. If you're outside New York entirely, reach out and we'll discuss.

How do I book a shoot?+

Use the contact form. Tell us the service you need, the timeline, and a few details about the project. We'll reply with a clear read on fit, a recommended approach, and a price — no discovery call required.

How quickly do you reply?+

Within one business day. Usually the same day. If you have a deadline coming up or something time-sensitive, say so in the message and we'll prioritize it.

Do you work with galleries and institutions outside of Manhattan?+

Yes. We regularly work in Brooklyn, Long Island City, and other outer boroughs — travel fees apply outside Manhattan. For institutions further afield, reach out and we'll work out the logistics.

Who is The Lightroom Studio?+

Vlad and Jasmine — a photo and video team based in New York City. We came up in the art world, which means we understand what galleries, artists, and cultural organizations actually need from documentation. The work is careful, practical, and built around what the image has to do after the shoot.
